CRM System for Corporate Relationship Management

In parallel, a CRM system is being implemented with the goal of collecting and centralizing all information related to the Politecnico’s partner companies. The CRM will serve as a single repository for company profiles, collaboration history, contacts, joint initiatives, and other relevant data. This tool will support mapping, analysis, and strategic planning activities, enabling a more coordinated and effective management of the relationships between the University and the business community.

Management System for Agreements and Contracts (GECO) 

The GECO project aims to develop an information system dedicated to managing agreements and contracts entered into by the University. This tool will enable structured monitoring and management of the lifecycle of contractual documents, up to signing and archiving, ensuring greater traceability, consistency, and access to information. The system is intended to simplify administrative activities related to institutional agreements and improve coordination among the various involved Departments.
Both projects are part of a broader path of digitalization and process optimization, aimed at strengthening the University’s operational efficiency and the quality of services provided in support of research, teaching, and technology transfer.

Project team

The project is developed by the Applications Service in collaboration with the Contracts and Subsidiaries Service of the ARIA Directorate and with the RIMIN Directorate.

The CRM system is designed to collect and centralize all information related to active relationships with companies, providing a complete and up-to-date overview of ongoing collaborations.
The main objectives include:
  • Information Centralization: gather in a single tool company data, contacts, purpose of collaboration, and the history of activities carried out with each company.
  • Ease of Updating: simplify the modification and integration of data (e.g., company contacts, purposes of agreements, operational notes) through intuitive and accessible interfaces.
  • Sharing and Interoperability: promote the sharing of information across the University’s various departments, ensuring data consistency and the adoption of common workflows.
  • Analysis and Monitoring: generate reports, statistics, and aggregated data to support strategic planning and engagement with the business community

The GECO project aims to map, track, and manage all types of contracts and agreements established with external parties, providing a centralized tool to oversee these processes.
The main objectives are:
  • Complete Traceability: ensure visibility and control over the entire contract lifecycle, from the initial assessment phases to signing and archiving.
  • Simplification and Accuracy: optimize document management phases, strengthen authorization processes, and reduce the risk of errors or redundancies.
  • Data Quality and Reuse: ensure the availability of structured and reliable data that can be reused for various needs (monitoring, audits, analysis, etc.).
  • Integrated Management: provide a single environment to manage all interactions with external parties – including agreements, internships, events, and administrative or accounting aspects – reducing fragmentation.
  • Shared and Automated Workflows: promote interoperability between directorates and offices through shared, automated processes that are consistent with the University’s organizational structure.
