Activation of the ChatGPT EDU service for faculty and staff

The University has joined the CRUI agreement with OpenAI, offering faculty, researchers and collaborators the opportunity to access ChatGPT Plus – Education version licences on preferential terms. The service is intended to support educational, experimental and writing-related activities, with particular attention to data security and compliance with applicable regulations.

As the second year of the agreement begins, we are publishing information on the licence renewal and termination procedures, with particular attention to restrictions on access to previous chats, as outlined in the FAQ at the bottom of the page.

The licenses are available at an annual cost of €103.12 per user and are:

  • borne by the applicants
  • personal and non-transferable
  • linked exclusively to the institutional account

It is also possible to request licenses for collaborators (postdocs, PhD students, etc.) under the same conditions as those applied to faculty members.

Once you have requested licence activation through the MyPoli portal, you will receive an email from OpenAI with instructions on how to activate the licence.

If you already have a ChatGPT account with an @polito.it email address:

  • Sign out of your account on all devices.
  • Follow the link included in the invitation email.
  • You will be asked to choose whether to transfer your existing chat history to the new EDU workspace or export and delete it. Transferring the chat history is recommended to keep your previous conversations.
    WARNING: This operation cannot be undone. Once your chats have been imported into the EDU workspace, they cannot be exported to a different account.
  • After confirmation, your account will automatically be linked to the ChatGPT EDU workspace.
  • Note: Migrating your chat history may take a few minutes.

If you do not have a ChatGPT account with an @polito.it email address:

  • Follow the link included in the invitation email.
  • Complete the registration as a new user, using your @polito.it email address and creating a dedicated password, separate from your institutional password.
  • Once registration is complete, you can access the ChatGPT EDU workspace using your new credentials.

Note: ChatGPT EDU does not currently support Politecnico di Torino Single Sign-On (SSO), so you will need to use the separate password created during registration.

The ChatGPT Edu licence expires on 30 September each year, with a 15-day grace period. It is automatically renewed unless the applicant explicitly opts out through the dedicated service.

When the licence expires, the user loses access to the Edu workspace and the associated content, including chats, files, Projects and Codex features. Content is not automatically transferred to any personal ChatGPT account, and OpenAI does not allow a complete export of the data.

Before the licence expires, users are therefore advised to save any documents, code and other work materials they wish to retain.

After the licence has been terminated, access to content stored in the Edu workspace should not be considered guaranteed.
