Using the calendar as a tool for collaboration and productivity with Microsoft 365

The digital calendar should not be used only as a personal reminder of appointments. When used effectively, it is a tool for communication, coordination, and collaboration among colleagues, working groups, and teams.

The Microsoft 365 suite, available to the entire community of the Politecnico di Torino, provides collaboration tools such as Teams and Office web applications. Some services, such as email and calendar, are still provided through the university’s internal systems for students.

When scheduling a meeting or work session, make sure the invitation includes:

  • a clear meeting title
  • an agenda or discussion points in the body of the invitation
  • a link to the online meeting
  • any useful attachments

Microsoft Outlook and Teams allow you to view colleagues’ availability directly while creating an invitation. This feature avoids unnecessary email “round trips” to find a suitable time slot.

In the desktop or web version of Outlook, you can use the Scheduling Assistant to view participants’ “free/busy” availability before sending an invitation, provided that their calendar allows sharing of this information (which is the default setting).

If you are trying to find the best time to meet with multiple people who have different availabilities, you can use the Scheduling Poll feature integrated into Outlook. After entering at least the recipients, the subject, and the message body, you can propose multiple time options and invite participants to vote for their preferred slots. This helps reduce back-and-forth emails and allows the meeting to be automatically added to the calendar once a shared choice is reached. This feature is available for Microsoft 365 accounts with Exchange Online.

Nei contesti di lavoro collaborativo, un'efficace gestione delle agende ottimizza la visibilità delle attività e semplifica il coordinamento delle riunioni tra team diversi. 

La funzionalità di condivisione del calendario permette di mostrare i dettagli dei propri impegni a colleghi specifici o di gestire l'accesso generale a livello aziendale.

Per farlo:

  1. Vai su Outlook e clicca sull'icona del calendario a sinistra
  2. Una volta comparso il tuo calendario, digita il nome della persona nella barra cerca
  3. Clicca sull'icona del calendario che comparirà accanto al nome (vedi screenshot) per visualizzarne il calendario
  4. Comparirà il suo calendario, insieme al tuo, e potrai confrontarli.

In team-based work environments, it can be useful to:

  • share your calendar with colleagues, defining appropriate access levels
  • consult team calendars directly in Teams or Outlook
  • use dedicated calendars for projects or working groups, in addition to personal ones. The team-linked calendar (and meeting scheduling within a channel) is only available in standard channels. In private (and shared) channels, it is not possible to schedule meetings directly within the channel
  • adopt a calendar linked to a shared mailbox (sMBX), which is particularly suitable when the calendar should not be tied to a single person. In this scenario, team members have equivalent permissions and must belong to the same organization

Calendar sharing improves visibility of activities and simplifies the organization of meetings across different teams.

For activities that require booking time slots (for example, student office hours, meetings with working groups, or service appointments), you can consider tools such as:

  • Bookings, which integrates with your calendar and provides an interface for booking available time slots
  • advanced automatic rescheduling features offered by Microsoft Copilot, which can reorganize appointments in case of conflicts. In this case, a license is required
